Overview
Voice To Task CRM ("the App") is developed by Adelyons Software LLC ("we," "us," or "our"). The App lets field tradespeople dictate post-job notes that are converted by AI into invoices, material logs, and follow-up reminders. This policy explains what data we collect, how it is processed, and the choices you have.
The short version: Your voice recordings are transcribed and processed by third-party AI services (Google) to build your invoices. Your data is stored securely in the cloud, is visible only to you, is never sold, and can be deleted by you at any time.
Information We Collect
- Account Information: Your email address, company name, and authentication credentials when you create an account.
- Voice Recordings: Audio you record in the App after a job. Recording only happens when you press the record button — the App never listens in the background.
- Transcripts & Extracted Data: The text transcript of your recording and the structured data extracted from it (job summaries, labor hours, materials, prices, follow-up items).
- Client Records: Names, addresses, and phone numbers of your clients that you dictate or enter, used solely to organize your jobs and invoices.
- Payment Information: Subscriptions are processed by Google Play or the Apple App Store. We never see or store your card details.
- Usage & Diagnostics: Anonymous app-usage events via Google Firebase Analytics and crash reports via Firebase Crashlytics (device model, OS version, crash traces). Used only to improve the App.
Third-Party AI Processing
Important disclosure: When you record a voice note, your audio and its transcript are sent to third-party AI services to provide the App's core features:
- Speech-to-Text: Your audio recording is transcribed to text by a cloud speech-recognition service (Google Cloud Speech-to-Text).
- Google Gemini AI: The transcript is sent to Google's Gemini API, which extracts the client name, labor hours, materials, prices, and follow-up items used to draft your invoice.
This processing happens on Google's servers, not on your device. We send only what is needed to provide the feature, and we use API tiers whose terms prohibit use of your data to train their models. Anything you say in a recording — including client names and addresses — is part of the data sent for processing, so dictate only what you're comfortable processing this way.
How We Store and Protect Your Data
- Cloud Storage: Recordings, transcripts, jobs, clients, and invoices are stored in Supabase (PostgreSQL and object storage), encrypted in transit (TLS) and at rest.
- Access Control: Your data is protected by row-level security — it is tied to your account and visible only to you. We do not access it except as needed to operate the service or comply with law.
- Your Clients' Data: Client contact details exist solely for your own bookkeeping. We never contact your clients, market to them, or share their information with anyone.
What We Don't Do
- We do not sell your data — or your clients' data — to advertisers or data brokers.
- We do not show ads.
- We do not record audio in the background. The microphone is used only while you hold an active recording session.
- We do not use your recordings, transcripts, or business data to train AI models.
Data Retention & Account Deletion
Your data is retained for as long as your account is active so your job history and invoices remain available to you.
You can delete your account and all associated data at any time:
- In the App: Settings → Danger Zone → Delete Account, or
- By email: send a deletion request to dev@adelyons.com from your account email.

Deletion removes your account, voice recordings, transcripts, jobs, clients, invoices, and action items from our production systems within 30 days.
Children's Privacy
Voice To Task CRM is a business tool intended for working tradespeople. It is not directed at children under 13, and we do not knowingly collect data from them. If you believe a child has created an account, contact us and we will delete it.
Your Rights
Depending on where you live (e.g., GDPR in the EU/UK, CCPA in California), you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these rights, email dev@adelyons.com.
Changes to This Policy
We may update this policy as the App evolves. Material changes will be reflected by the "Last updated" date above, and significant changes will be announced in the App.
