Bookstore POS or Inventory App: What Each Should Do
Bookstore point of sale systems are built around the till: ringing up sales, customer accounts, and ordering from the office computer. The jobs that happen on the floor, away from the till, are the ones that still run on paper in most independent stores. You do not need to replace a working POS to fix that.
What the POS should keep doing
- Sales and payments, including tax, gift cards and customer accounts.
- The title database the store has built over years.
- Ordering from wholesalers and publishers, where the POS has an integration.
- Accounting exports your bookkeeper already relies on.
Moving any of that is a large project with real risk. Most stores that switch POS do it for a till or a website reason, not an inventory one.
The floor jobs a POS leaves to paper
| Job | Where it happens | What is usually missing |
|---|---|---|
| Receiving a delivery | The back room, box by box | Scanning in where the box is, with the return-by date captured |
| Returns | The shelves | A pull list ranked by dollars at risk, scanned off the shelf |
| Counting a section | The shelves | Expected against counted, per section, without closing the store |
| "Do you have it?" | Wherever the customer is | On hand, section and last sold, from a phone |
| Special orders | The counter and the phone | A list that joins the next order and tells the customer when it arrives |
| Turns by section | The office, once a year | Every week, so a dead bay is seen in season |
How the two fit together
The clean arrangement is one-way: the inventory app reads the POS's exports (sales and stock files) on a schedule, and never writes back into the POS. Sales still ring up at the till. The floor work is done on phones. The owner's analytics come from both. If the inventory app disappears, the POS is untouched.
Questions to ask any add-on
- Can it read my POS's export without a custom integration?
- Does it work on a staff phone with no extra hardware? A Bluetooth scanner should be optional.
- What happens on a shelf with no signal?
- Can I get all my data out as a file, any time?
Where Bookstore Counter fits. Bookstore Counter is the floor and back office on top of the POS you keep: scan books in with their return-by date, see the returns pull list, count a section, and look up on hand and last sold from a phone. It reads ONIX files and POS sales exports and never writes to the POS. Returns ranked by dollars at risk, used-book offers from your own sales history and special orders are being built next and are not in the app yet. More about Bookstore Counter.
